HOW TO GUIDE: CREATING PROFILES
A Profile is used to determine which files and folders are going to backed up, how they are going to be synchronized with the server, how they are going to be organized on the server and how often they are going to be synchronized. The following instructions will explain each of these steps in detail.
Step 1: Start the BackupSpace.com Agent. You can do this by by selecting one of the shortcut icons you created during the installation or by double-clicking the BackupSpace Agent icon in the task tray.

Step 2: Using the Wizard Mode, click the first option "Perform a synchronization or backup now (create a new profile)".

Step 3: On this next screen, you will want to select the folder that you want to backup. This is referred to the Left-Hand folder. For more information regarding what files you should backup, please refer to our
FAQ: What Should I Backup?. To select the files you want to backup from you local computer, choose the "Browse..." button next to the Local Folder field or type the name of the folder you wish to backup.

Step 4: The Right-Hand folder is the folder that you want to backup the files to on the BackupSpace.com server. You can create multiple folders on the server which will allow you to backup
multiple locations without mixing up your files. To create or choose the folder you want to backup to on the server, click the "Browse..." button next to the Folder field. When you do this, the program will ask you for your server login credentials. These will be supplied to you from your Software Provider. Enter your username and password to connect to the server.

Step 5: On this next screen you can choose which folder you want the files to be placed on the server. By default, there will be one folder already created called "backups". You can create a new folder at the top level and you can also create sub-folders. Click on the "Create New Folder..." button to make a new folder on the server. Once you have created the folder, select the folder and click OK.

Step 6: Once you have selected your Right-Hand folder, click Next to proceed.

Step 7: On this next screen you can choose how you want your files to be synchronized with your computer. You can either back them up to the server or download them from the server. You can also do both at the same time which will keep both sets of files updated with the most recent version of the files on your local computer and on the server. If you wish to use the server as a place to archive files in the event of a file being mistakenly deleted, lost or corrupted then you would want to only choose the Upload option. If you are looking to restore the files from the server back down to your computer, you will want to choose only the Download option. Once you have decide which direction you want to synchronize your files, click the Next button. For more detailed information about these options, please see our
FAQ: Sync Direction.

Step 8: Sync Modes give you detailed flexibility on how you want your files to be compared, copied and overwritten between your computer and the server. If you're unsure as to which option to select, the safe choice to use would be Standard Copying. If on the previous screen you chose to only upload your files then the Exact Mirror option will become available. For more detailed descriptions please view our
FAQ: Sync Modes. Once you have decided which option you want to use, click the Next button.

Step 9: On this screen you can choose which file types you wish to synchronize with the server. This is helpful if you're looking to backup only the Word documents on your entire computer or only your MP3 collection. You can choose multiple file types by seperating them with semicolons or you can choose to copy all files by using the "(all)" option. If you want to exclude only certain file types you can enter those in the field on the right. For example, if you want to copy all the files in your My Documents folder except your videos you could put "(all)" in the left field and "*.avi; *.mpg; *.divx" in the right field. Once you have chosen what files you want to synchronize, click the Next button.

Step 10: The scheduling window will allow you to specify a time when a synchronization will occur. You can schedule this to be as often as you want or never. If you want to manually run your synchronication, uncheck the "Schedule This Profile" option and no automated schedule will be created. You can always go back later and modify the schedule if you want to in the future. For more detailed instructions as to how often you should schedule your synchronication, please refer to our
FAQ: How Often Should I Backup?. Once you have chosen your schedule, click the Next button.
Please Note: In order for the scheduled synchronizations to run, the BackupSpace.com agent must be running. For more detailed information on how to determine if the BackupSpace.com agent is running, visit our
FAQ: How Do I tell if BackupSpace.com is Running?

Step 11: This is the stage of creating your new profile. Provide it a name that corresponds to what is being synchronized with the server. If this is the My Documents folder that's going to be backed up to the server every night at 3AM you may want to call it "My Documents Nightly Backup". If this is a weekly synchronization of your sales proposals from the server down to your PC you may want to call it "Weekly Sales Document Download Sync". Once you have provided a name for the profile, you can choose either Save & Run or Save Only. If you choose to run the profile now, please visit our guide,
How To Guide: Synchronizing Your Files.

Step 12: Once you choose to save the profile, you will see a screen for Compression and Encryption. It is a good idea to compress and encrypt the data that is being backed up to the server. This will ensure that the data is safe from hackers on the internet and help to reduce the time it takes to syncronize the files with the server. Once you type in the password, it will be saved on your computer and you will not be asked for it again. Once you have chosen your options, click OK to complete the setup of your new profile.
